Create and Use Text Macros in Procedure Documentation for Exams

Overview

You can now create and use text macros in the Procedure Documentation section of the Physical Exam (PE) step of the Exam.

You can create a text macro through the Text Macros page, or in the Procedure Documentation section of the Physical Exam step.

 

Best practice
We recommend you create text macros through the Text Macros page.

 

Note
You must first load a procedure template before you can create or use a text macro in the Procedure Documentation section of the Exam. Click the add icon  next to Procedure Documentation and select the appropriate procedure template.

 

Newly created text macros appear in all sections by default. However, if you want the new text macro to only appear in the Procedure Documentation section of the Exam, you can do so in two ways:

Text Macros page

In the Text Macros page, under Available sections, you can assign the text macro to the Procedure Documentation section of the Exam.

Within the Exam

In the Physical Exam step of the Exam, when creating a new text macro in the Procedure Documentation section, check the Make available in the current section only box.

Note
If you choose to create a text macro within the exam, it's important that you delete the procedure template content from the Text field. Make sure only the text you want to appear in the text macro is in the Text field.

In the example below, the Telehealth procedure template content has been deleted from the Text field. Only the text "Visit conducted virtually due to COVID-19 risk" will appear when the covid19risk text macro is used.
If you don't delete the procedure template content, then it will also appear whenever you use the text macro.

Setup instructions

You must load a procedure template before you can create or use a text macro in the Procedure Documentation section of the Exam.

User access and permissions

You must have the Clinicals Admin: Other Templates permission if you are an administrator who needs editing access to all your practice's text macros. Otherwise, if you're only creating or editing text macros for yourself, no special permission is required.

 

Note
When multiple users are subscribed to a text macro, only the copy option  will be available for that text macro on the My Text Macros admin page. To access the My Text Macros admin page, on the Main Menu, click Settings > Text Macros.

To edit a text macro with multiple subscribers, you can do so by clicking Settings on the Main Menu > Clinicals. In the left menu, under Practice Links - Exam, click Text Macros.

If a text macro only has one subscriber, that user can edit the text macro via either of the methods listed above.

To create a text macro through the Text Macros page

  1. On the Main Menu, click Settings > Text Macros.

    Note
    Alternatively, on the Main Menu, click Settings > Clinicals. In the left menu, under Practice Links - Exam, click Text Macros.

  2. Click Create New Macro to add a new macro.
    Additional fields appear.

  3. Shortcut — Enter a name for the macro (2-50 characters with no spaces). This name will appear in the list of macros available for use.

  4. Available Sections — Select the encounter section or note field where the macro should appear, or select All to make the macro available in all macro-enabled fields.

    Note
    You can select Patient Case to configure text macros only for the Case Description field in patient cases.

  5. Expansion text — Enter the reusable text.

  6. Users — Select the providers who can use the macro.

  7. Click Add.
    You can edit, delete, or copy an existing macro using the icons next to the macro.

    Note
    Practice admins with access to the Clinicals Admin: Other Templates permission can create and edit all text macros available for the practice when they click Go to Text Macros for All Users.

To create a text macro in the Procedure Documentation section of the Exam

  1. From the patient briefing, in the top right corner, click Go to Exam from the green workflow menu.
    The Exam stage appears.

  2. Complete the Review, HPI (History of Present Illness), and ROS (Review of System) steps as usual.

  3. Click PE (Physical Exam) from the workflow menu.
    The Physical Exam step appears.

  4. Click the add icon  next to Procedure Documentation and select the appropriate procedure template.The procedure template appears.

  5. Complete the procedure template.

  6. Type out the text that you want the macro to contain.

  7. Hover your cursor over the right side of the Procedure Documentation section and click the save as macro icon .

  8. Shortcut — Enter a name for the text macro.

    Note
    If you want the text macro to only appear in the Procedure Documentation section and nowhere else in the Exam, check the Make available in the current section only box.

  9. Click Edit text.
    The Text field expands, displaying the procedure template content as well as the text you added.

  10. Text — Delete the procedure template content. Make sure only the text you want to appear in the text macro is in the Text field.

    Note
    In the example below, the Telehealth procedure template content has been deleted from the Text field. Only the text "Visit conducted virtually due to COVID-19 risk" will appear when the covid19risk text macro is used.
    If you don't delete the procedure template content, then it will also appear whenever you use the text macro.

  11. Click Save.

To use a text macro in the Procedure Documentation section of the Exam

  1. From the patient briefing, in the top right corner, click Go to Exam from the green workflow menu.
    The Exam stage appears.

  3. Click PE (Physical Exam) from the workflow menu.
    The Physical Exam step appears.

  5. Complete the procedure template.

  6. To enter a text macro, press the period key on your keyboard and type out the name of the text macro.
    The text macro menu appears, displaying a list of available text macros beginning with the letters you typed.
  7. Select the text macro you want to use.
    The text macro auto-populates within the procedure template.
